Terms and Conditions
By making a booking payment/deposit, you agree to these terms.
Our booking confirmation indicates that your spot has been reserved on the trip. These booking conditions require you to comply with all your obligations to fully secure your place on the trip.
It is important to read the refund conditions carefully, as we operate a variety of trips with different operational terms and requirements.
Booking Terms & Conditions Changes
We may amend the booking terms and conditions at any time by notice to you or by posting a notice on www.womenwantadventure.com.au. Except in the case of minor changes that do not affect your rights, we will provide at least 30 days’ notice before the amendment becomes effective.
Trip Bookings
If you would like to participate in a Women Want Adventure Trip, you must book via our website, complete all required fields for personal information, including any medical information, and agree to these booking terms and conditions. All prices are per person and inclusive of GST.
Prices
Prices vary depending on the trip. All trip prices are in Australian dollars (AUD). The prices represent the most current prices per person. While Women Want Adventure does its best not to increase trip prices, due to accommodations bookings, logistics, and time of year of trip, prices may need to be altered. If a third party's charges to us increase, Women Want Adventure may amend our trip prices at any time.
Age
There is a minimum age of 18 years old.
Most of our trips do not have an upper age limit, but please remember that our trips can be physically demanding, so you should ensure that you are fit enough to participate fully. A medical clearance certificate is required if you are over 65 years old.
We are able to provide information on mandatory health requirements for trips, but we are not medical experts. Before traveling and before departure, you should seek medical advice for the latest health requirements and recommendations for your destination.
Risk
You acknowledge the nature of the trip is adventurous and participation involves a degree of personal risk. Natural, cultural, and geographical characteristics of these places present dangers and physical challenges that are greater than those we encounter in our daily lives. For assessing whether the itinerary should operate, we rely on reports from government foreign departments as well as our own contacts. In addition, you must familiarise yourself with all relevant travel information and the nature of your itinerary. Your decision to travel is informed by this information, and you acknowledge that you are aware of the personal risks involved.
Requirements for health and fitness
On the booking page, each trip is graded according to its level of difficulty. It is imperative that you are physically prepared for the trip. If you are not physically prepared you may need to or be asked at times to miss/skip certain days or portions of your trip. Refer to our trip grading for more information. You must be in good health and physical condition and are strongly advised to follow our pre departure fitness training recommendations. You will be required to submit our medical questionnaire online or for international larger trips (form) as proof that you are fit enough to participate in the tour 70 days prior to departure.
Booking with Women Want Adventure means you understand your trip may operate in unpredictable outdoor environments. When you participate in an activity with Women Want Adventure, you accept the inherent risks of injury, death, or damage to property that may be associated with that activity. Whenever you feel ill or injured, you must notify your guide immediately so we can take appropriate action.
Medical
Pre-existing medical conditions: If you suffer from asthma, high blood pressure/heart disease, diabetes, epilepsy or mental illness; please discuss it with your doctor before your trip. You must also outline any medical conditions on your online booking form to notify Women Want Adventure.
For our trips, you must have a doctor's certificate if you are over 65 years old. Medical and evacuation expenses will be your responsibility, but insurance may cover you depending on the circumstances. While we do not discriminate by age, due to the extreme nature of many of our trips we strongly discourage participants over 65 years of age. Women Want Adventure reserves the right in its absolute discretion to refuse a participant the right to participate on a trip and our standard cancellation terms will apply in these circumstances if the participant does not meet the fitness, health and medical requirements to safely complete the trip.
When booking any trips with Women Want Adventure, clients must disclose every matter concerning their health and mental and physical fitness of which they are aware, or ought reasonably be expected to know, that is relevant to Women Want Adventure's decision to permit you to go on the adventure trip. If there is any change in your medical or health condition, immediately upon any adverse change in your health or fitness that may be likely to affect Women Want Adventure's decision to permit you to go on the trip, you will notify Women Want Adventure in writing of any such adverse change. You acknowledge that the obligation to disclose under this condition continues from the time of booking the tour through to departure and extends for the duration of the tour.
You must ensure you have taken the necessary precautions to immunise/vaccinate for the destination they are travelling to. Clients booked on a trip must take out a travel insurance policy that adequately covers them for medical eventualities including cover specifically for pre-existing medical conditions.
Day Trip Terms
Terms of cancellation for day trips

The entire trip cost is forfeited if a participant cancels their trip once it begins or does not show up. The full trip cost may also be forfeited if a participant or participants arrive late on the day.
Transfers
Transferring a day trip must be done outside 30 days of departure to a later date. The transfer fee for day trips is $40+GST. Within 30 days of departure, Women Want Adventure does not accept transfers for day trips. You will receive a full refund of the amount paid for your day trip if Women Want Adventure cancels your trip and will be able to transfer to a later departure without additional fees if you choose.

The final payment is due 30 days before departure. Clients are responsible for checking their emails and notifications to make payments. Deposits are non-refundable.

For overnight trips paid in full up front, a deposit is included.
Transfers:
If available, transfers can be applied beyond 30 days prior to departure to the same trip at a later date. It is the client's responsibility to inform us in writing. Within 30 days of departure, deposits are non-transferable. The transfer fee is $60+GST. Credits are not held by Women Want Adventure.
Please be aware that if a participant cancels their trip once it commences or they do not show they also forfeit their full trip cost. Late arrival of a participant or participants on the day may also forfeit the full trip cost.
In the event that Women Want Adventure cancels your overnight trip or yoga retreat, we will refund your final payment minus the deposit. A non-refundable deposit holds the accommodation and expenses paid to providers. Prior to booking, please be aware of these conditions.
Kosciuszko Trip Terms
- Cancellations must be communicated in writing.
- Deposits are non-refundable but may be transferred to a future trip within the same Kosciuszko Hiking Trip category, subject to availability, if cancellation occurs more than 60 days prior to departure.
- Both the deposit and balance payment will be forfeited if cancellation is within 60 days of the departure date.
- No refunds will be issued for unused services if a participant leaves the trip after it has commenced.
- There are no refunds for participants who fail to join a trip, join after departure, or leave before its conclusion.
- Failure to pay the full amount 60 days prior to departure will be treated as a cancellation of the booking.
Payment:
- A deposit is required at the time of booking.
- The remaining balance is due 60 days before the departure date.
- Bookings may be cancelled if the balance is not paid by the due date.
- All payments must be made in Australian dollars.
- Confirmation emails are sent following the acceptance of the deposit.
Transfers:
- The non-refundable deposit can be transferred to another person, but not to an existing booking or a different trip at a later date.
- Transfers are allowed to the same trip on a later date, based on availability.
- Transfer requests must be made at least 60 days before the original departure date and must be in writing.
- A transfer fee of $100 + GST applies.
- Transfer may incur additional costs due to price, accommodation, or operational cost increases.
- Transfer requests received less than 60 days before the original departure date will not be accepted, and 100% of the payment will be forfeited.
Multi-day Trips
Terms of cancellation for the following multi-day trips
It is required that cancellations be in writing. The following conditions apply to cancellations:
A non-refundable deposit may be transferred to a future trip on the same trip you booked if you cancel more than 70 days before departure, subject to availability. Your non-refundable deposit and balance payment will be forfeited if you cancel within 70 days of your departure date.
Any unused services will not be refunded if you leave a trip after it has begun. No refunds will be given if you do not join a trip, join it after departure, or leave it before it ends. You will be considered to have cancelled your booking if you fail to pay the final amount on time (60 days prior to departure).
Trip payment
A deposit is required at the time of booking. 70 days prior to departure, the balance is due. We reserve the right to cancel your booking if this balance is not paid by the due date. The payment must be made in Australian dollars. A confirmation email will be sent once your deposit has been accepted.
Transfers
The non-refundable deposit may be transferred to other persons however it can not be transferred to an existing booking or a different trip at a later date. We offer transfers to the same trip at a later date, only if available. Transfer requests must be made at least 70 days prior to your departure date in writing. To complete the transfer, there will be a $100 + GST transfer fee. It is important for you to be aware that you may be liable for any increase in prices, accommodation, or other operational costs. In the event that your request to transfer is received less than 70 days prior to your original departure date, no transfer will be allowed and 100% of your payment will be forfeited.
Murramarang Trip Terms and Conditions
It is required that cancellations be in writing. The following conditions apply to cancellations:
The trip deposit is non-refunable or trasnsbale once a booking has taken palce.
Trip payments for larger trips:
A deposit is required at the time of booking. 70 days prior to departure, the balance is due. We reserve the right to cancel your booking if this balance is not paid by the due date. The payment must be made in Australian dollars. A confirmation email will be sent once your deposit has been accepted.
Payment Terms:
In order to confirm your Murramarang Trip booking, you are required to complete a booking form online and make a deposit payment of $550 inc GST per person (in the booking currency AUD).
In the event that Women Want Adventure cancels and the trip due to minimum numbers not being met, or the trip is cancelled by unsafe weather conditions, Women Want Adventure will refund in full any payments made by you. Women Want Adventure reserves the right to cancel any trip prior to departure due to weather in which case any payment made by you will be refunded in full and you will not be entitled to make any further claims related to such a cancellation, including but not limited to compensation or damages, for any loss, consequential or indirect damage, expenses, loss of time or inconvenience, loss of opportunity or loss of enjoyment which may result from such cancellation
Final payment is due at least 70 days prior to the departure date of the trip (or the amended departure date of the trip) and an online booking gateway to finalise payment will be sent to you for this purpose prior to 70 days.
Credit card payments are accepted. Merchant fees and bank surcharges may apply.
Transfer or Cancellation by you
If you wish to cancel your trip, we ask that you notify us immediately in writing. Cancellation will take effect upon receipt by Women Want Adventure of your written notice.
If the cancellation is made more than 70 days prior to the expedition departure date, you will forfeit your Deposit paid by you to Women Want Adventure. If cancellation is made less than 70 days prior and final payment has been made the follow terms apply for
- If you cancel more than 70 days before your departure date, your deposit will be retained
- In the event of a cancellation within 40-69 days of your departure date, 50% of the remaining balance will be refunded (less the deposit)
- If you cancel within 40 days, there will be no refund of final amount paid
International Trips
Terms of cancellation for International Trips - Nepal and Thailand
You will only be subject to these terms and conditions if you are booking or travelling on an international trip to Nepal or Thailand. The other terms relating to deposits and payments are outlined elsewhere in these terms.
A written cancellation must be received. The following conditions apply to international trip cancellations:

If you cancel more than 70 days before your departure date, your deposit will be retained

In the event of a cancellation within 40-69 days of your departure date, 50% of the remaining balance will be refunded (less the deposit).

If you cancel within 40 days, there will be no refund
In the event of cancellation by us
Women Want Adventure may cancel events if minimum numbers are not reached. We will give you at least 30 days notice so that you can book onto another tour or receive a full refund. Women Want Adventure may also cancel due to force majeure events, such as Covid-19. As a result of force majeure events, we are not liable for any delays or failures to perform our obligations. In the event of a force majeure event, we reserve the right to suspend or cancel a tour itinerary in whole or in part. A force majeure event is an act of God, fire, lightning, explosions, flood or other natural disaster, subsidence, act of terrorism, insurrection or civil disorder or military operations, power or gas shortage, government or quasi-government restraint, expropriation, prohibition, intervention, direction or embargo, inability or delay in obtaining governmental or quasi-governmental approvals, consents, permits, licences or authorities, strikes, lock-outs or other industrial disputes of any kind, epidemics, pandemics and any other cause, whether similar or not to the foregoing, outside of the affected party’s control.
Under this agreement, if for any reason we have to cancel an international trip before it starts, you will be entitled to a refund. In the event that we have to cancel your trip more than 30 days before departure, we will reimburse your final amount less amounts we have paid with subcontracts and cannot recover. Depending on availability, you can transfer your booking to a later departure of the same trip.
As a result of such a force majeure event, we will not be liable to you in any way for any trip suspension or cancellation. No refund of either the deposit or the balance payment will be payable to you. We strongly recommend that you obtain travel insurance when you pay your non-refundable booking deposit. As a result of your booking, we are not responsible for incidental expenses such as visas, vaccinations, travel insurance excess or non-refundable flights. Contact your insurance company for more information.
International/overseas trip deposits
A non-refundable deposit is required at the time of booking. This deposit is non-refundable or transferable due to insured fees with our international partners, logistics and operational costs.
Final payment
The final payment is due 70 days before departure.
Antarctica Trip Terms
Please carefully read and ensure you understand the following Terms & Conditions as they set out the basis upon which we accept all bookings with our partner, Aurora Expeditions.
The following are important terms that you should be particularly aware of:
If you decide to travel with Women Want Adventure and Aurora Expeditions and make payment for an expedition, you do so with the understanding that you have accepted these Terms & Conditions, including amendments to the Terms & Conditions that may be made by Women Want Adventure and Aurora Expeditions from time to time and shared with you. You should check Aurora’s website for the most updated terms and conditions here.
Booking Confirmation and Payment Terms:
Women Want Adventure does not take any payments from clients. All deposits and final payments are arranged with Aurora Expeditions.
To confirm your booking, you are required to complete a booking form and make a deposit payment of $2,500 per person (in the booking currency of USD) within 7 working days of booking (“Deposit”). For the avoidance of doubt, no booking can be confirmed until such time as the booking form and the Deposit are received by Aurora Expeditions.
To confirm your participation in sea kayaking, a deposit of $250 (in the booking currency) per person per activity is required. The activity deposit is in addition to the Deposit required to confirm your place on the expedition, and the deposit for the activity is only refundable if the activity is canceled due to minimum numbers not being reached or the activity is canceled by a third party.
In the event that Aurora Expeditions cancels sea kayaking due to minimum numbers not being met, or the activity is canceled by a third party, Aurora Expeditions will refund in full any payments made by you for that activity or trek unless you inform us that you wish for the amount to be credited towards the final balance of your expedition.
Final payment is due at least 90 days prior to the departure date of the expedition (or the amended departure date of the expedition), and an invoice will be sent to you for this purpose by Aurora Expeditions.
Credit card payments are accepted. Merchant fees and bank surcharges may apply.
Booking Transfer or Cancellation by You:
If you wish to cancel your expedition, you must notify Women Want Adventure in writing. Cancellation will take effect upon receipt by Women Want Adventure and Aurora Expeditions of your written notice.
If the cancellation is made more than 90 days prior to the expedition departure date, you will forfeit your Deposit paid by you to Aurora Expeditions. If cancellation is made less than 90 days prior to the expedition departure date, you will be liable to pay the full price of the expedition within 7 days of providing your notice of cancellation to Aurora Expeditions.
Summary Terms for the Antarctica Trip:
- The Deposit is non-refundable or transferable.
- All prices are quoted in USD per person based on Twin share.
- Prices include all Port Charges & Government Taxes.
- A 150% Single Supplement rate will be charged on all stateroom categories should you book a solo stateroom.
- Future Cruise Vouchers cannot be used on Group Bookings.
- The only combinable discounts with Group Contract Bookings are Early Bird Discounts and Loyalty Discounts.
- Stateroom numbers are not guaranteed and can be changed at any time.
- Downgrading to a lower stateroom category is not permitted.

Illness or injury
If you are prevented from attending a trip as a result of illness, injury, the death of an immediate family member, jury service, or other reason beyond your control which we consider significant, we will agree to your booking being transferred to another person who satisfies all the conditions applicable to the trip, provided that:

you and the other person accept liability for full payment of the trip price and any additional costs arising from the transfer; and
-
you give us at least 30 days written notice of the proposed change.

Flexibility
You appreciate and acknowledge that the nature of this type of trip requires considerable flexibility and you should allow for alternatives. The itinerary provided for each trip is representative of the types of activities contemplated, but you agree that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events.
Authority
Trips are run by our team of guides and in some circumstances sub-contacted individuals. The decision of the guide/s is final on all matters likely to affect the safety or well-being of any client participating. If you fail to comply with a decision made by your guide, or interfere with the well-being or mobility of the group, the guide may direct you to leave the trip immediately, with no right of refund. We may also elect not to carry you on any future trips booked. You must at all times comply with the laws, customs, and drug and alcohol regulations on the trip.
Limitation of liability
We contract with a variety of companies, government agencies and individuals to assist in the running of our trips as agents. We are not responsible for the acts and omissions of these third parties nor, to the extent permitted by law, are we liable for any liabilities, damages, losses, and expenses, whether direct or indirect, you suffer as the result of the acts or omissions of our third party service providers.
To the fullest extent permitted by law:
(a) any liability for any loss, death, injury or damage which you may suffer (directly or indirectly) in connection with or arising out of your making a booking with us, participation in a trip, or any breach of the Agreement, is excluded;
(b) you release Women Want Adventure and its officers, employees, agents and representatives from any liability and expressly waive any claims you may have against us and them arising out of or in connection with your making a booking, participation in a trip or breach of the any guarantee, condition or warranty which would otherwise be implied by law into this Agreement, is excluded.
Travel insurance
All international trips (Nepal and Thailand) require travel insurance. For any larger trip booked outlined above in these terms or an international trip with Women Want Adventure, you must provide evidence that you have obtained personal travel insurance covering all activities you expect to participate in. For all our trips, including day trips and overnight stays, insurance is highly recommended. The trip price does not include personal travel insurance.
For all dates of travel with the Women Want Adventure, you must have travel insurance with a minimum medical, evacuation and repatriation coverage of AUD$200,000. This insurance must cover personal injury and emergency medical expenses. Prior to your departure, our team will check in with you to ask for your insurance policy number to ensure you have sufficient insurance in place. You are strongly recommended to extend your coverage to include cancellation, curtailment, and all other expenses that may arise as a result of loss, damage, injury, delay or inconvenience while travelling. You acknowledge that insurance coverage is not included in the cost of any trip offered by Women Want Adventure and you are required to obtain separate coverage at an additional cost. It is your responsibility to ensure that you have sufficient coverage and comply with the terms of the applicable insurance plans. You are responsible for advising your insurer of the type of travel, destination(s) and activities included in your booking so that the insurer may provide appropriate coverage.
Waiver
Waivers are required for all of our trips. Failure to sign or properly complete the Women Want Adventure waiver may result in you being unable to start the trip with the cancellation consequences outlined above. If there is a change in any of the information you have supplied when you made a booking, including on the Women Want Adventure Waiver, you must notify us immediately.
Depending on the activities in your chosen trip, you may also be required to sign a waiver by one of our third party service providers. Failure to sign or properly complete such a waiver may result in you being unable to start the trip or take part in that day’s activities. We will not be liable for any expenses you have incurred.
Privacy
Any personal information that we collect about you may be used for any purpose associated with the operation of a trip or to send you marketing material in relation to our events and special offers. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the Trip. We will otherwise treat your details in accordance with our privacy policy (available for viewing on our Website).
Images
By booking a trip, you agree that Women Want Adventure may use your iImages for promotional purposes, including but not limited to our website and printed material, without charge. In the event that you do not wish for your image to be used for these purposes, please notify us in writing.
Feedback
If you have a complaint about your trip please inform your guide at the time in order that they can attempt to rectify the matter. If satisfaction is not reached through these means then any further complaint should be put in writing to us within 30 days of the end of the trip.
Indemnity
You agree to defend, indemnify, and hold Women Want Adventure, its guides, directors, employees and agents, harmless from and against any claims, liabilities, damages, losses, and expenses, including, without limitation, reasonable legal and accounting fees, arising out of or in any way connected with your access to or use of the trip and Services or your breach of the Agreement.
General Provisions
These booking conditions are governed by the law of New South Wales and the parties submit to the jurisdiction of the laws of that state. If part or all of any of the booking conditions is illegal or unenforceable it will be severed from the Agreement and will not affect the continued operation of the remaining provisions of the Agreement. These terms and conditions and the Women Want Adventure Waiver constitute the entire Agreement between the parties and supersede all other agreements, representations or understandings between the parties.
In accepting these booking conditions, you acknowledge that you have read and understood them.
